2. Why we use it
We use your personal data only for these purposes:
-
to verify alumni status and manage your membership and account;

3. Legal basis and consent
-
We process your personal data on the basis of the consent you give when you register, pay, donate or sign up for an event. Each consent request will tell you what data is collected and why.
-
Some processing is allowed without separate consent where the law permits it, such as keeping accounting records or responding to a lawful request from a government authority.
-
You may withdraw your consent at any time by updating your account settings or emailing [email]. Withdrawal is as easy as giving consent. It does not affect processing done before withdrawal, but we may no longer be able to provide some services, such as directory listing or member access.
-
You can unsubscribe from newsletters and event emails at any time using the link in each email.
4. The alumni directory
-
The directory is visible only to logged-in, verified members.
-
By default, it shows your name, batch, course, specialty and city. Your email, phone number and address are shown only if you choose to show them.
-
You can change what is shown, or hide your profile entirely, from your account settings at any time.
-
Members may use directory details only for personal alumni networking, as set out in our Terms and Conditions.
5. Who we share it with
We do not sell or rent your personal data. We share it only as follows:
-
Service providers who act on our instructions, such as our website host, email service provider and payment gateway. They may use the data only to provide their service to us and must protect it.
-
Office bearers and event committees of the Association, to the extent needed for their duties.
-
Government authorities, courts or law enforcement where required by law.
-

Some service providers may store data on servers outside India. Any such transfer will comply with restrictions notified by the Government of India.
6. How long we keep it
-
We keep your membership data for as long as you are a member and for [one year] after you close your account, after which it is erased unless the law requires us to keep it.
-
Payment and donation records are kept for the period required by tax and accounting laws, currently up to [eight] years.
-
Server logs and related traffic data are kept for at least one year, as required by law, and then deleted.
-
Before erasing data because you have been inactive, we will notify you at least 48 hours in advance where the law requires it.
7. How we protect it
We use reasonable security safeguards, including encrypted (HTTPS) connections, password-protected and role-based access for office bearers, access logs, and regular backups. No website is completely secure, so please keep your password safe.
If a personal data breach occurs, we will inform affected users and the Data Protection Board of India as required by law, describing what happened, its likely impact and the steps we are taking.
